Project Spotlight | Event Signage and Wayfinding | Dallas Fort Worth

Bike MS Round Up Event Signage From Fort Worth to Glen Rose

For the Bike MS Round Up ride, the National MS Society needed outdoor event signage that could support a two day route, help riders and volunteers move with confidence, and keep sponsor and mission messages visible across multiple stops.

Lawton helped produce the printed pieces that made the event feel organized on site, from large outdoor banners to route and recognition signage used throughout the weekend. For an event spread across real Texas roads, timing, durability, visibility, and delivery coordination mattered as much as the print itself.

Printed for real event conditions Outdoor signage, rider visibility, sponsor recognition, and route support for a two day North Texas community event.

What the project needed to solve

This was not just a banner order. A ride from Fort Worth to Glen Rose needs printed materials that work across check in areas, rider stops, sponsor zones, route locations, and finish line moments.

For nonprofit and community events, the printed pieces help create order. They show riders where to go, help volunteers stay aligned, and give sponsors and donors the visibility they were promised.

Project scope in plain terms

  • Outdoor event banners and branded display pieces for high traffic areas.
  • Recognition signage for top fundraisers, sponsors, mission updates, and thank you messages.
  • Route and event support materials used across multiple locations during the ride.
  • Production coordination built around a fixed event date that could not move.

Bike MS Round Up ride is a two day cycling event and will be raising nearly $1.4M to end multiple sclerosis with over 870 cyclists. Our event experience is so grateful for the amazing partnership with Lawton to showcase our top fundraisers, mission updates, and sponsor thank you signs along the weekend route.

Video Recap

See the Bike MS Round Up signage in motion

The video shows how the printed pieces worked as part of the full event environment, not just as standalone products. From sponsor visibility to mission updates, the signage helped support a route that moved across communities and brought riders together for a cause that matters.

Photos from the route and event setup

The strongest event signage photos show the work in use. These pieces were part of the event environment, helping connect riders, volunteers, sponsors, and mission messages throughout the weekend.

Project spotlights from the ride

A strong event project usually has more than one job inside it. The visible pieces, the route needs, and the mission messaging all have to work together without creating confusion for the event team.

Route wide event presence

The signage helped carry the Bike MS identity across a route that moved beyond one venue. That consistency helps riders feel like every stop is part of the same organized event.

Sponsor and fundraiser recognition

Recognition signs gave top fundraisers, sponsors, and mission updates a physical presence during the weekend. That matters when donors and partners need to be seen clearly on site.

Outdoor visibility in real conditions

Outdoor event graphics need to be readable, durable, and ready before attendees arrive. For a fixed date event, the print schedule has to support the event schedule.

1

Event signage and banners

Large outdoor pieces help anchor the start, finish, check in, sponsor areas, and key route points. For event teams, this reduces last minute questions and makes the space feel prepared.

2

Wayfinding and route support

Temporary wayfinding helps people move through an event without needing constant staff direction. For a multi stop ride, clear signs protect the rider experience and support volunteer efficiency.

3

Recognition and mission messaging

Printed recognition pieces make sponsors, fundraisers, and mission updates visible in the physical event space. That visibility supports both the event experience and future fundraising value.

Why this kind of event printing matters

Outdoor events move fast once the day starts. Clear signage helps prevent confusion, missed sponsor visibility, volunteer bottlenecks, and the last minute scramble that happens when printed pieces are treated as an afterthought.

What Lawton helps handle behind the scenes

For event teams, the finished sign is only part of the job. The bigger value is getting the details organized early enough that production, finishing, packing, and delivery are not fighting the deadline.

1

Project planning

We help sort out what needs to be printed, where it will be used, and what materials make sense for the environment.

2

File setup and proofing

Proofing helps catch names, sponsor marks, quantities, sizing, and layout issues before pieces go into production.

3

Print and finishing

Banners, rigid signs, mounted graphics, and directional pieces need the right finishing so they can be used on site without extra work.

4

Packing and delivery

For multi location events, organized packing and delivery support make setup cleaner for staff and volunteers.

What usually causes problems on event signage projects

Most event printing issues come from timing and coordination, not from the print itself. The earlier the full scope is clear, the easier it is to avoid reprints, missing pieces, and rushed decisions.

!

Late sponsor changes

Sponsor names and logos often change close to the event. A clear proofing cutoff helps protect the deadline.

!

Wrong material for outdoor use

Outdoor signs have to handle sun, wind, handling, and setup conditions. Material choice should match the way the piece will actually be used.

!

Unclear quantities by location

A route event may need signs grouped by stop, station, or volunteer team. Location based packing helps prevent confusion during setup.

!

Rushed delivery planning

The event date will not wait for production. Delivery and pickup details need to be part of the schedule from the beginning.

Best practices for nonprofit and community event signage

Good event signage starts with the route, the people, and the timeline. The print plan should support the way the event actually runs.

Build the sign list by location

Group pieces by start area, rest stops, sponsor zones, volunteer areas, and finish line needs. This makes setup easier and helps avoid missing signs.

Confirm sponsor files early

Sponsor logos can slow down production when they arrive in low resolution or in the wrong format. Collect final artwork before proofing starts.

Use readable copy

Outdoor signs need to be understood quickly. Short wording, strong contrast, and clear hierarchy matter more than trying to fit everything on one piece.

Plan for weather and handling

Temporary outdoor signs still need to survive real use. Material, finishing, grommets, mounting, and packing should match the environment.

Keep proofing disciplined

A final proof protects names, dates, sponsor marks, mission statements, and route details. It is one of the simplest ways to prevent reprints.

Pack by setup order

For events with volunteers, the right packing plan saves time. Labeling and grouping materials by location keeps the setup team moving.

FAQs people ask about event signage

These are the practical questions that usually come up when a team is planning a walk, ride, fundraiser, school event, corporate event, or community activation.

Can Lawton help with signage for multi location events?

Yes. Lawton can help organize event signs, banners, directional pieces, and printed materials for events that happen across more than one location in Dallas Fort Worth and North Texas.

What types of signs work best for outdoor charity events?

Common options include vinyl banners, rigid signs, yard signs, sponsor boards, route markers, table signs, and directional signage. The right choice depends on wind, distance, mounting, visibility, and how long the piece needs to stay up.

Can event signage include sponsor logos and donor recognition?

Yes. Sponsor recognition, donor thank you signs, fundraiser boards, and mission update graphics are common pieces for nonprofit events.

How early should an event team start printing signage?

Start as early as you can once the route, sponsors, and key messages are known. Earlier planning gives more room for proofing, finishing, packing, delivery, and any last minute changes.

Can Lawton help if we do not know exactly what we need yet?

Yes. You can bring the event plan, route, venue details, or sponsor list, and the production team can help identify what pieces are needed and what materials make sense.

Why this helps event teams

When signage is planned, proofed, produced, packed, and delivered with the event flow in mind, teams spend less time solving print problems on site. Lawton has supported North Texas projects for more than 40 years, and that experience shows up in the small details that keep a deadline from becoming a scramble.
